Administration Officer - Reception

We’re looking for an Administration Officer to join our Zion Aged Care team and provide day-to-day administrative and customer service support. 

You’ll work closely with the service manager, clinical teams, residents, families and other stakeholders, helping the service run smoothly and ensuring people receive a friendly and professional experience.

Employment Type: 
PartTime - 15 hrs Fortnight | available Monday's (with sick and annual leave coverage as required)
Remuneration: $30.58 ph + Super + Salary Packaging + Access to staff discounts & benefits  

What You’ll Be Doing:
  • Welcome residents, families, visitors and contractors and provide friendly reception support
  • Answer, triage and direct phone, email and in-person enquiries
  • Respond to routine enquiries and refer more complex matters to the appropriate team member
  • Record messages, enquiries and follow-up actions accurately
  • Manage visitor sign-in and site requirements
  • Assist with admission and enquiry administration
  • Complete filing, data entry, document preparation and mail distribution
  • Support petty cash, banking and invoice processing
  • Assist with resident appointments, vehicle and shared-space bookings
  • Maintain office supplies and stationery
  • Assist with service communications, newsletters and notices
  • Provide other general administrative support as required.
What You’ll Bring:
You’ll be someone who enjoys helping people, stays organised and can confidently manage a busy reception environment. 
  • Strong customer service and administration experience
  • Excellent attention to detail
  • Strong verbal and written communication skills
  • Good organisational and time management skills
  • Ability to manage multiple priorities and deadlines
  • Confidence working independently and as part of a team
  • Moderate computer skills, including Microsoft Office, CRM and database systems
  • Ability to quickly learn and understand the requirements of the aged care environment
  • Current Police Check or NDIS Worker Screening Clearance, as required.
